2.1 Ticket purchases and payment data

When you purchase tickets for The Barbados Rum Experience, we collect your full name, email address. Payment processing is handled by our trusted payment provider Fygaro β€” we do not store your card details on our systems. We use this data to process and confirm your purchase, communicate important event updates, and fulfil our contractual obligations to you.

2.2 Event registration and attendee preferences

When you register for an event, we may collect attendance preferences, dietary requirements, and other event-related preferences you provide. We use this data to ensure the event is delivered to the standard you expect and to make reasonable adjustments where needed.

2.3 Email newsletter subscribers

When you subscribe to our mailing list, we collect your name and email address. We use this data to send you marketing communications about The Barbados Rum Experience, including event announcements, news, and offers. You can unsubscribe at any time via the link included in every marketing email.

2.4 Contact form enquiries

When you contact us via the website contact form, we collect your name, email address, and the content of your enquiry. We use this data solely to respond to your enquiry.

2.5 Photography and video at events

Photography and video content is captured at BRE events for use in our marketing materials, social media channels, and promotional content. Attendees are informed of this activity in our event terms and conditions.

Where an individual is the clear and identifiable subject of photography, we rely on T&C acceptance as notice of this activity. If you would prefer not to appear in event photography, please notify us at info@barbadosrumexperience.com and we will make reasonable efforts to accommodate your request.

2.6 Sponsor and partner business contacts

We collect business contact details (name, job title, organisation, and business email) from existing and prospective sponsors and partners. We use this data to manage our commercial relationships and communicate about partnership opportunities.

2.7 Website usage data (analytics)

When you visit our website, we use Google Analytics to collect anonymised data about how visitors use our site. This may include your approximate location, browser type, pages visited, and time spent on the site. This data is aggregated and does not identify you personally.

2.8 Advertising and retargeting data

We use the Meta Pixel on our website to enable interest-based advertising on Facebook and Instagram. This tool may collect data about your activity on our website and link it to your Meta profile to show you relevant advertisements. This only occurs if you have accepted marketing cookies via our cookie consent banner.

3. Who we share your data with

We do not sell or rent your personal data to third parties. We may share your data with the following categories of recipient where necessary to deliver our services:

  • Fygaro β€” our payment processing partner, for the purpose of processing ticket purchases securely. Fygaro is based in the Caribbean. Please see Section 6 regarding international transfers.
  • Mailchimp (The Rocket Science Group LLC) β€” our email marketing platform, used to manage our mailing list and send marketing communications. Mailchimp is based in the USA β€” see Section 6.
  • Google LLC β€” our analytics provider. Google is based in the USA β€” see Section 6.
  • Meta Platforms Inc. β€” our advertising platform. Meta is based in the USA β€” see Section 6.
  • WordPress (Automattic Inc.) β€” our website platform provider. Data processed in accordance with Automattic’s privacy policy.
  • Event operational contractors β€” such as registration management or on-site logistics providers, only where necessary for event delivery and under appropriate confidentiality obligations.
  • Legal and regulatory authorities β€” where required by law, court order, or to protect our legal rights.

All third-party processors are required to handle your personal data in accordance with applicable data protection law and are subject to appropriate contractual safeguards.

4. International transfers of personal data

As TBRS (Experiences) Ltd. is based in Barbados and uses US-based third-party processors, your personal data may be transferred to and processed in countries outside the United Kingdom and European Economic Area (EEA). We ensure that appropriate safeguards are in place for each such transfer:

  • Google LLC (USA) β€” transfers are covered by Google’s participation in the EU-US Data Privacy Framework, an adequacy mechanism recognised under UK GDPR.
  • Meta Platforms Inc. (USA) β€” transfers are covered by Meta’s participation in the EU-US Data Privacy Framework and Standard Contractual Clauses (SCCs).
  • Mailchimp / The Rocket Science Group LLC (USA) β€” transfers are covered by Mailchimp’s participation in the EU-US Data Privacy Framework.
  • Fygaro (Caribbean) β€” we are in the process of confirming and documenting the transfer mechanism in place with Fygaro. This section will be updated once confirmed. In the interim, we rely on appropriate contractual obligations with Fygaro regarding data protection.

5. How long we keep your data

We retain your personal data only for as long as necessary for the purposes for which it was collected, in accordance with the following retention schedule:
